Writing English service messages for a Malay-speaking reader
Decide whether you are inviting, requesting or instructing
English please appears in many kinds of sentence, from a welcoming invitation to a firm operational instruction. Malay has several expressions used in these settings, including sila and tolong. They should be selected for what the message is doing rather than treated as interchangeable decorations added to every sentence.
‘Please sit down’ can be ‘Sila duduk.’ It invites or instructs the reader to take a seat. A request for someone’s help has a different purpose, even when English also uses please. Before translating a customer message, state the action clearly and decide whether the recipient is being invited to act or asked to do something for you. That distinction helps avoid a request whose words are individually plausible but whose tone does not fit the exchange.
Clarify what ‘can’ is asking about
English can may concern permission, practical possibility or a person’s ability. Malay expressions involving boleh and dapat cover related meanings, and usage explanations are not always reducible to one rigid English-to-Malay equivalence. In a technical message, distinguish access permission from whether a system is capable of an action.
For example, a customer asking whether they can download a file might be requesting authorization or reporting that a button does not work. Write the actual problem in the English source: the account lacks permission, the file is unavailable, or the user needs instructions. A translation cannot reliably settle the intended meaning of can if the sentence offers no other clue.
Keep a price promise distinct from availability
English free can mean without charge or available for use. These meanings need different wording. In a promotion, ‘Free parking’ can be ‘Tempat letak kereta percuma.’ The phrase promises parking without a charge; it does not simply say there is an empty parking space.
Check this distinction in delivery offers, trials and appointment messages. If a service is free only for a limited period or only with a purchase, include that condition in the English sentence. Otherwise a short translation can accurately repeat an incomplete commercial promise. If you mean available time rather than a zero price, say that explicitly before translating.
Use Malay vocabulary for the intended destination
The Malay selection should not be assumed to be interchangeable with Indonesian just because many written forms look familiar. ‘The office’ commonly involves pejabat in Malay, and a car is kereta. Preserve the actual destination in a travel or workplace instruction instead of substituting a term from another language’s interface.
‘I am at the office’ can be ‘Saya berada di pejabat.’ In a message arranging a visit, identify which office if several branches exist. Keep the organization’s established name and street address recognizable; translating the sentence around those identifiers is different from inventing new names for them. Finally, read the request alongside any permission or price condition. Those details tell the recipient what they should do, whether they may do it and what it will cost.
